Who we are and what this policy covers

ResolvePay is a trading name of Resolve Services Limited (NZBN 9429047432000), PO Box 206, Matakana 0948. We help New Zealand employers review and recalculate holiday pay under the Holidays Act 2003.

This policy explains how we collect, use, share and protect personal information. It applies when you visit resolvepay.co.nz or our Firebase-hosted website, contact us, book a call, use our risk check, or work with us, including when your employer gives us payroll data to recalculate. We handle personal information in line with the Privacy Act 2020.

What we collect

We only collect what we need to respond to you, deliver our services and operate and protect our website.

Personal information and where it comes from
Where it comes fromWhat we collect or process
Contact form, email and callsYour name, email, organisation, optional phone number and information you choose to share with us by email or phone.
Booking a callThe contact and appointment details you enter to arrange a meeting.
Risk checkYour answers are processed only in memory in your browser tab to show your result. They are not sent to ResolvePay, our CRM or analytics, linked to your contact details, or stored after you leave the page.
Client engagementsPayroll and employment records your employer provides, such as employee names, IDs, pay, hours, leave and employment dates.
Website use and securityTechnical request information, such as IP address, browser and device information. If you accept optional analytics, website usage information such as page paths and general device information is also processed.

You don’t have to give us personal information, but without the required details we may not be able to respond, arrange a meeting or provide our services. Please do not send individual employee payroll records through a website enquiry; arrange an appropriate transfer with our team.

How we use it

We use personal information to:

  • respond to enquiries, scope work and prepare quotes
  • arrange and manage appointments
  • deliver our services, including reviews, recalculations and reports for our clients
  • operate and protect our website and prevent automated abuse
  • understand how our website is used and improve it, where you accept optional analytics
  • meet our legal, contractual and record-keeping obligations.

Payroll data from an engagement is used to deliver that engagement for the client who provided it and meet applicable legal obligations. We never sell personal information. Submitting an enquiry or booking a call does not subscribe you to marketing.

Website forms, booking and hosting

Our enquiry form sends your name, email, organisation and optional phone number to LiveRem Go so we can respond and manage your enquiry in our CRM. Go may also process your IP address, technical request information and the page path for delivery, security and abuse prevention.

Our booking page includes a LiveRem Go calendar. Loading that page connects your browser to Go. Go and any connected calendar provider process the details you enter to arrange the meeting. We do not pass advertising identifiers, page queries or prefilled contact details to the embedded calendar.

The website is hosted using Google Firebase Hosting. Google may process technical request information to serve and protect the website. Go, Google and any connected calendar provider may process website enquiry, booking or technical information outside New Zealand.

Cookies, analytics and spam protection

We store your cookie preference in your browser. Google Analytics is optional and loads only on the production domain after you select “Accept analytics”. It is disabled on our test website. You can reject analytics and still use the website, and change your choice through “Cookie preferences” in the footer.

If you accept analytics, Google may process information about website use, such as page paths and general device information. We exclude URL queries and fragments from analytics page information. Names, contact details, enquiry content and risk answers are not sent in analytics events. Advertising storage and personalisation remain disabled. This website does not currently load a LinkedIn Insight Tag or fire Google Ads lead-conversion tracking.

Google reCAPTCHA loads when you send an enquiry to help prevent automated abuse. Google may process device and browser information and set cookies for this protection. See Google’s privacy policy and Terms of Service.

We do not install Go’s visitor-tracking tag or send advertising identifiers, URL query parameters, referrers or risk answers with the enquiry form. You can also use your browser’s controls to manage cookies.

Who we share it with

We share personal information only when we need to:

  • Our clients and their advisers. Engagement results go to the client who engaged us, and to their lawyers, auditors or advisers when the client asks us to.
  • Trusted service providers. These include our email, IT, website hosting, CRM, scheduling and security providers. They process information to provide their services.
  • When the law requires it. For example, to a regulator or court.

Client payroll data is held in New Zealand, and we use no offshore resources to process it. Website enquiry, booking, analytics and security information is separate from client payroll data and may be processed overseas as described above.

How we store and protect it

We take reasonable steps to protect personal information against loss, misuse and unauthorised access or disclosure. Access to client payroll data is limited to the people working on the engagement.

We retain personal information only for as long as needed for the purposes for which it may lawfully be used, including responding to enquiries, managing our business relationship, delivering an engagement and meeting legal or record-keeping obligations. When it is no longer needed, we securely delete it or return it to the client, as appropriate. Contact us if you need details about retention for a particular enquiry or engagement.

If a privacy breach has caused, or is likely to cause, serious harm, we will notify the Privacy Commissioner and affected people as soon as practicable, as required by the Privacy Act 2020.

Your rights

You can ask to see the personal information we hold about you and ask us to correct it. We may need to verify your identity. We will respond as soon as reasonably practicable, normally within 20 working days. If a lawful extension is needed, we will tell you why and when to expect a response.

If you’re an employee and your information came to us from your employer, we may need to work with your employer to respond or transfer the request where appropriate. We will let you know how your request is being handled.

If you’re not happy with how we’ve handled your information, please contact us first. You can also complain to the Office of the Privacy Commissioner.
